Responsibilities and Requirements for Managers in the Back Office Department:

Statistical Data Management Sector:

  • Consolidating and analyzing various statistical data about students, resources, contracts, activities, and students' academic performance.

  • Summarizing and analyzing statistics on students' progression from course to course, students’ expulsions, and academic leaves.

  • Consolidating and analyzing statistical data on students recommended for transfers or re-enrollment.

  • Preparing statistical data related to the activities of the higher education institution based on requests and inquiries.

  • Maintaining the report forms provided to the Statistics Agency by the higher education institution.

  • Creating a general database of graduates' information.

  • Collecting, consolidating, and analyzing data on graduate employment and job placements.

  • Analyzing the accuracy of statistical data entered into the "HEMIS" information system.

Managers in the statistical data management sector are required to work based on information provided by other university departments to gather, consolidate, and process the requested data.

Educational Process Coordination Sector:

  • Registering admitted students in the electronic system.

  • Registering foreign students admitted to the university in the electronic system and assigning them to courses.

  • Coordinating and formalizing student movements (expulsion, progression, transfer, academic leave, reinstatement).

  • Preparing scholarship orders in the HEMIS platform based on declarations from the deanship or the educational-methodological management regarding students' academic performance and other circumstances.

  • Transferring students from one course to another.

  • Summarizing and analyzing students' academic performance.

  • Developing and updating student databases.

  • Formalizing the graduation process in cooperation with the deanship for students who have completed their studies.

Student Documentation Management and Storage Sector:

  • Collecting, binding, registering, and storing the documents of students who graduate from higher education institutions until they are archived.

  • Placing copies of the orders for students whose surname has changed, those who have taken academic leave, changed their department or faculty, repeated courses, or were expelled from the student base.

  • Delivering all necessary documents to students expelled from the university due to transfer to another higher education institution.

  • Providing strict accounting document forms (diplomas, diploma supplements, academic certificates, etc.).

  • Receiving, storing, and organizing the distribution of strict accounting blanks (diploma blanks, academic certificates, diploma supplements, etc.).

  • Identifying academic debtors in cooperation with the deanship.

  • Regularly communicating with organizations and institutions through platforms like https://OTT.mehnat.uz and http://d-arxiv.edu.uz to verify the authenticity of diplomas issued to graduates, respond to requests regarding duplicate diplomas for lost diplomas and supplements.
